Associate Project Manager, London

As an Associate Project Manager you will sit within the Project Management team and run a variety of projects across a variety of sectors.

This is a fee earning role and you will be expected to undertake projects from inception through to completion and undertake LXA’s full set of Project Management services for our clients on your own and be responsible for your own billing and invoicing.

Your direct line manager will be The Head of Project Management. Secondary reports will be to the Directors of the business. You will be required to follow all of LXA’s internal office policies and procedures as set out in the LXA Employee Handbook.

Job Specification

As an Associate you are expected to be able to deliver all of the Project Management services to our clients in a timely and professional manner and represent LXA in front of our clients and other members of the project team.

2.1  Appointments

+      Recommend, interview, and organise appointments.

+      Establish client’s brief and expectations against time, cost, exposure, quality etc.

+      Establish role and responsibilities of each of the team members.

+      Advise on any additional consultants required for project.

 

2.2 Client Brief/Design Process

+      Establish and define the degree of client involvement and the channels of communication for the team and client.

+      Produce pre-contract programme, highlighting all events required to meet the contract dates and commencement dates.

+      Ensure all drawings, specifications and actions are produced and distributed within the confines of the agreed working programme, and monitor performance of the design team against.

+      Identify any party wall issues with the appropriate consultants, and ensure all notices are served as soon as information and appointments are in place.

+      Recommend the type of builder and specialist sub-contractors, as well as form of contract. Discuss client objectives in choice of Contractor, i.e. quality and risk issues.

+      Give advice on the market conditions, and specifically how this will affect the project.

+      Monitor the design development (and assist where necessary) to ensure that the client regularly signs off the design and the budget.

+      Produce master programme for issuing of information and construction period in conjunction with design team and main contractor.

+      Produce progress reports to chart the project progress and future actions required to meet post-contract obligations.

 

2.3 Approvals

+      Assist the Architect in initiating discussions with local authority planners and building control, and fire officers, and ensure that all requirements / conditions are dealt with appropriately. Track development of each of the applications with the design team and the statutory authorities.

 

2.4 Managing the Client

+      Produce progress reports to chart the project progress and future actions required to minimise risk to the Contractors programme.

+      Monitor costs during the works to ensure is inline with cost plan, and ensure regular financial reports are issued.

+      Liaise with client’s own installation of IT, audio visual equipment, and other works.

+      Ensure the building is fit for occupancy prior to the client taking occupation, and lease organise operations as necessary

+      Co-ordinate, direct and inspect all construction works in conjunction with the design team.

+      Undertake in the snagging process with the design team.

+      Ensure all works including snagging are completed.

+      Oversee and liaise on commissioning of all plant, equipment, and training to operate installations including manuals etc.

 

2.5 Managing the Contractor

+      Administrate the building contract, confirming necessary variations to the client etc.

+      Monitor the progress of onsite works (and off-site fabrication) against programme and take alternative actions when shortfalls are perceived / identified.

+      Ensure site is set up and run within industry standard guidelines for health and safety etc.

+      Set up and liaise with local authority regarding any required site visits.

+      Conduct, chair, and minute all design and progress meetings.

 

2.6 Post Completion

+      Monitor the works during the defects period and inspect with design team at the end of defects period.

3.0 Additional Requirements

As an Associate you will also be required to do the following as part of your role:

+      Have at least 10 years construction experience, hold the relevant chartership or in the process of becoming chartered with the RICS.

+      Agree and issue fees in conjunction with your manager and the Directors.

+      Manage the fee forecast for your projects, keeping the client up to date and ensuring the fee forecast is up to date with your manager.

+      Reviewing the profitability of your projects based on the time spent against the fee agreed on a monthly basis.

+      Liaise with your manager to agree additional fee requests or alterations to the forecast where required to ensure projects remain commercially viable.

+      Review and understand fee targets set within the team and for you personally.

+      Build and maintain relationships with all clients and members of the project team on your projects.

+      Assist the directors, your manager and the company’s business development manager with marketing the business, promoting the business and winning work for the business. It is expected that Associates should be bringing in around 3 new projects per year to the business through direct relationships and business development throughout the year along with repeat work from projects undertaken for existing clients.

+      Attend functions, seminars, drinks, lunches etc in conjunction with directors and business development manager where appropriate to promote the business.

+      Have a good understanding of LXA globally and what we do and where so you can promote the business accurately in all situations.

+      Assist and help train more junior members within the team and act as a mentor where required.

+      As part of the PM team you will work with your team members to continually improve LXA services and processes and as such you will throughout the year help with updating and improving these wherever possible and undertaking internal projects to ensure the growth and development of the team.

+      Contribute regularly with content for LXA social media and marketing feed.

+      Share and like all of LXAs social content.

+      Contribute and take part in regular CPD throughout the year.

+      Feedback at all times to your managers and Directors where you believe improvements can be made on the service provided by LXA.
